Privacy notice for your Plenipo account

This notice explains what the Plenipo account service keeps about you, why, for how long, and who
helps us run it. The account service is the website at account.getplenipo.com, where you make
an account, buy Plenipo Pro or Partner, get your license key, and manage your subscription. It
also answers the weekly license check that a paid copy of Plenipo makes.
Plenipo is made by 8 West Ventures, LLC ("8 West", "we", "us"). The Plenipo app and its website have their own privacy statement, which covers what the app keeps on your computer.
What we keep
We keep as little as we can.
Your account
- your name, your email, and your company if you give one
- your password, stored only as a scrambled one-way code (an Argon2id hash), so nobody can read it
- whether you have confirmed your email
- when you signed in, and whether you used your password or an emailed link. We don't keep your internet address with this history.
When you buy Plenipo Pro or Partner
- your plan (Pro or Partner, monthly or yearly), how many organizations your key covers, your subscription's state, and its dates. Plenipo counts your organizations on your own computer and never sends that count to us; the number we keep is the one your plan includes.
- if 8 West gives you a complimentary key: the plan, its end date, and the reason we gave it
- your license key and its key number (key ID)
- for each payment: the amount, the tax, the date, and the country, for tax records
- a reference number that links your account to your customer record at Stripe
Your card never reaches us. Stripe, our payment company, collects and keeps your card details and your billing address.
The weekly license check. Once a week, a paid copy of Plenipo sends us its license key number and its version number, and nothing else. We use the key number to answer whether your subscription is still paid, and we note that the check happened. We don't keep the version number. A Free copy of Plenipo never contacts us.
Your internet address. We use it for a short time to slow down people who try to guess passwords or send too many requests. We store it only in a scrambled form, in counters we clear within a day. Cloudflare, which runs the network in front of our service, and Amazon Web Services, which runs our server, may keep their own short-term logs.
Cookies. We use only the cookies the site needs to work: one that keeps you signed in, and one that keeps our forms safe from other websites. We don't use advertising or tracking cookies. Cloudflare may set a cookie it needs to protect the site.
Why we keep it
- to run your account and sign you in
- to sell you Plenipo Pro or Partner, deliver your license key (and a new one when a plan switch changes what it covers), and answer the weekly check
- to send you account email: your license key, sign-in links, password resets, email confirmations, and a note when your account is deleted
- to keep the service safe from abuse
- to keep the tax records the law requires
We don't sell your information, and we don't use it for advertising.
Who helps us run the service
These companies handle information for us, only to do the job we need:
- Stripe takes payments, works out and collects sales tax, runs the page where you manage billing, and sends billing email (receipts, renewal reminders, failed-payment notices, and invoices).
- Amazon Web Services runs our server, keeps our encrypted backups, holds our settings, and holds the key that signs license keys.
- Microsoft 365 sends our account email from
[email protected]. - Cloudflare runs the network in front of our service and protects it.
- Have I Been Pwned helps us check that a new password hasn't shown up in a data leak. Only the first 5 characters of a scrambled code made from the password leave our server, never the password itself.
Each of them has its own privacy policy.
How long we keep it
- Your account: until you delete it.
- An account whose email is never confirmed: deleted, with everything in it, once its confirmation link runs out, 24 hours after it was made.
- When you delete your account: we stop your subscription from renewing, close any payment
page you left open, and remove your name, email, company, password, sessions, and sign-in
history right away. We ask Stripe to remove your details where Stripe allows; if Stripe can't
be reached, we keep asking until it can. We keep, with nothing that names you:
- your license key number and its state, so a copy of Plenipo using that key still gets a correct answer from the weekly check;
- payment records (amount, tax, date, and country) for 7 years, for tax law; and
- Stripe's customer number for that account, for 400 days, so a payment made after the account was deleted is noticed and refunded instead of starting a new subscription.
- Backups: our nightly encrypted backups are kept for 35 days, so deleted information can stay in a backup until that backup expires.
- Email we send: once an email is sent, we keep only what kind it was and when, for 90 days.
- Rate-limit counters: cleared within a day.
Stripe keeps its own payment records as the law requires it to.
Your choices
- See your details on your account page.
- Manage your billing details, see invoices, or cancel in Stripe's customer portal (Manage billing on your account page).
- Delete your account at any time (Delete my account on your account page).
- Ask us about your information, or ask us to correct it, by writing to [email protected].
Children
The account service is for adults buying software for themselves or their business. It is not meant for children.
Changes to this notice
If we change this notice, we will update the date at the top. If a change matters to how we use your information, we will tell you by email before it applies.
